How to Estimate Your Automation Costs Before Choosing Make or Zapier

October 21, 2026 · 4 min read

Make and Zapier both offer a free plan to start, then charge by how much your workflows run. That is fair, but it means the right plan depends on your volume, and a busy workflow can climb faster than you expect.

Know what each tool counts

Zapier prices by tasks and Make prices by operations. The two do not count the same way, so a plan with a bigger number is not automatically the better deal. Before you compare, read each tool's documentation on exactly what counts as a task or an operation.

Estimate your own volume

  1. List the steps in your workflow, from the trigger to the last action.
  2. Estimate how many times it will run in a month, for example form submissions or new orders.
  3. Multiply steps by runs to get a rough monthly total.
  4. Add a buffer as a rule of thumb, since volume tends to grow and retries add up.

Find the expensive steps

Steps that run on every item, such as a loop over a list, or a workflow that triggers more often than it needs to, are where costs hide. Filtering early, so the workflow stops when there is nothing to do, usually saves the most.

Start on the free plan

Both tools have offered free plans with limits. Build your first workflow there and watch the usage page for a month. That gives you real numbers instead of guesses. Check each tool's current limits, because they change.

Match the tool to the workflow

Zapier is the quicker start for simple trigger-and-action connections. Make suits multi-step, branching workflows where you want to see the whole flow at once. If you are unsure, our Make vs Zapier comparison lays out who each one suits.
